The Paperwork Problem

AS9100 does not just ask you to have a process. It asks you to prove it. Every controlled document needs an authorized approval behind it, and every record needs to survive an audit without anyone questioning whether it was altered after the fact. That is a real requirement, not a formality, and most manufacturers meet it with a patchwork: a form built in Word, a printer down the hall, and a separate signing tool that has nothing to do with the job it is documenting.

Custom Documents removes the patchwork. Build the document you need, route it for signature, and it lives with the job, part, or order it belongs to from the start.

What Are Custom Documents?

A Custom Document is any form or record a manufacturer needs, built directly inside StartProto rather than assembled outside it. Certificates of conformance, first article inspection reports, training records, nonconformance sign-offs, engineering change approvals, even customer-facing quotes: if it needs a signature and a permanent record of who approved it, it can be built here.

Once a document type is built, it becomes a template. Build a first article report or a certificate of conformance once, and use it again every time that record is needed instead of starting from scratch. Documents are organized in a kanban-style view, so a team can see at a glance what is drafted, what is out for signature, and what is complete.

Once a document is filled out, it is routed to the right person and signed inside the platform. That signature is not a scanned image pasted onto a PDF. It is logged: who signed, what they signed, and when.

The Audit Trail

This is the part that matters for AS9100. Documented information has to be protected from unintended alteration, and approvals have to come from authorized people using an identifiable method. A Custom Document satisfies both by design. Every signature is timestamped and tied to the person who gave it, and the record cannot be quietly edited afterward without that edit showing up too.

That means when an auditor asks who approved a first article report, or wants proof that a training record was signed off by the right person, the answer is not a search through email or a shared drive. It is already attached to the record.

The signing workflow is built to keep that record honest. If a reviewer needs to redo a signature, it can be reset on its own without touching anyone else's approval. And the final signed PDF only shows the reviewers who actually signed, not everyone who was invited to review, so the document never overstates who signed off.

Aerospace and defense manufacturers who also fall under ITAR and CMMC get the same benefit from the same audit trail: one record, protected inside the same secure boundary, instead of a separate tool to manage on top of it.

Native, Not Bolted On

Because Custom Documents live inside StartProto, they are already connected to the job, part, or order they document. A certificate of conformance for a shipment is tied to that shipment. A training record is tied to that employee. There is no export step, no second system to keep synchronized, and no gap between the document and the operational data behind it.

That also means less setup. A manufacturer does not need to stand up a separate e-signature vendor, manage a second set of user permissions, or reconcile which system holds the real copy of a record. The document and the data it is drawn from live in the same place they always did.

Output

Every Custom Document can be printed or exported to PDF, so it is just as easy to hand to a customer at a shipping dock or an auditor in a conference room as it is to keep on file. The audit trail travels with it either way. Documents are not locked to one look either. Formatting and layout can be customized so a certificate of conformance or a quote can match the way a manufacturer already presents itself, not a generic template.
